A resignation letter is short, but a few words in it decide how easy your exit is. If you were pushed to resign, if HR argues about your last day, or if your PF record shows the wrong exit date, the letter is the first document anyone will look at. Here is a simple way to write it.
What you need
Your official joining date, your notice period from your offer letter or contract, and your planned last working day
Your manager's and HR's email IDs
Your UAN (Universal Account Number) for PF, from your salary slip or the EPFO member portal
Step by step
Read your contract first. Your notice period, whether you can buy it out, and any rules about acceptance come from your offer letter, appointment letter or company policy. Courts in India look at these terms closely, so know them before you write.
Send it by email. Email the letter to your manager and HR together, from your work ID, and send a copy to your personal email. Email gives you a dated record that can't quietly disappear.
State an effective date instead of asking for acceptance. Write the exact date your resignation takes effect and your last working day. Avoid wording that only "requests" acceptance. A fixed date reduces arguments about when your notice period started.
If you were pressured to resign, say so. If management asked or pushed you to resign, don't write "personal reasons". Write that you are resigning at the instance of management. In July 2026, the Chhattisgarh High Court held that when a resignation letter says it was given under pressure, the employer has to check whether it was really voluntary before accepting it. This line does not guarantee compensation, but it keeps the facts on record if there is a dispute later.
Ask HR to update your EPF date of exit. Add one line asking the company to mark your EPF date of exit as your last working day. A wrong or missing exit date is a common reason PF transfers and withdrawals get stuck.
Keep everything. Save the email, any replies, your last few salary slips, your relieving letter and your handover notes.
Here is a template you can copy and edit:
Subject: Resignation - [Your Name], [Employee ID]
Dear [Manager's Name],
I am resigning from my position as [Designation] at [Company Name].
My resignation will be effective from [Date], and my last working day will be [Date], in line with my notice period of [X] days.
[Only if true: I am submitting this resignation at the instance of management.]
Please update my EPF date of exit as my last working day, [Date].
I will complete a proper handover of my work before I leave. Please share the full and final settlement and relieving process.
Regards,
[Your Name]

Withdrawal. Under Supreme Court decisions such as Raj Kumar v. Union of India and Srikantha S.M. v. Bharath Earth Movers, an employee can generally withdraw a resignation before it is accepted or before it takes effect, unless the rules say otherwise. Once you send it, assume it will be acted on.
Notice period. Follow your contractual notice. Your employer can't move your exit date earlier on its own unless your terms allow it.
PF exit date. If your employer doesn't update it, you can mark it yourself on the EPFO member portal under Manage, then Mark Exit. You can do this only two months after the employer's last PF contribution, and you need an activated UAN with your Aadhaar-linked mobile for the OTP.
Only write what is true. The "at the instance of management" line is for real pressure situations. Using it falsely can hurt you later.
This is not legal advice. For a serious dispute, such as unpaid dues or a threat to your background verification, speak to an employment lawyer.
